ISSR Room Reservation Policies:
- Please avoid holding conversations and taking cell phone calls in the hallways and doorways around the conference rooms, as these discussions can disrupt ongoing research work.
- Please ensure that the conference room door(s) are closed during your event.
- Rooms must be reserved , or at the ISSR front desk on the 5th floor of Coor Hall (480.965.5009).
- Rooms should be reserved at least 24 hours in advance of the event.
- Rooms cannot be reserved on a weekly basis (i.e., no standing appointments).
- A room reservation may be placed on hold; however, any room with a HOLD status must be confirmed within one week of the reservation. Any room with a HOLD status may be bumped after that time if another group requests the room. The ISSR is not responsible for contacting the group who placed the room on hold.
- Rooms cannot be used as classrooms.
- Groups must leave on time since conference rooms may be booked with back-to-back meetings. The room schedule posted near the doorways may not be up-to-date.
- Graduate Assistants/Students cannot reserve the rooms unless their advisor contacts the ISSR office and authorizes the reservation. This authorization transfers the responsibility of the room’s condition to the authorizing advisor.
- Reservations for 5536 are at the discretion of the ISSR and cannot be guaranteed for smaller groups. Accommodations will be made for another Coor Hall room if a larger group needs 5536.
- Requests from the Dean’s Office, College of Liberal Arts and Sciences or the President’s Office have priority over existing room reservations. Accommodations will be made for another Coor Hall room for the pre-existing function.
- The reserving department is responsible for arranging catering services, refreshments, and/or meeting supplies. After each event, the reserving department is expected to ensure that the room is clean and orderly including the erasure of the white boards.
- Cancellation of ISSR conference room reservations must be submitted to the ISSR office prior to the scheduled begin time of the event.
- These facilities are available for use during normal business hours (Monday through Friday, 8am to 5pm).
Please note that failure to abide by the above policies may result in forfeiture of ISSR room reservation privileges. All room reservations are at the discretion of the ISSR. The ISSR will make every attempt to accommodate your choice of rooms but cannot guarantee a room’s availability. In general, groups with existing room reservations will not be asked to change their room reservations unless noted above.
